VoxCheck ("we", "us", "our") operates the English language assessment platform at ease.ikatech.co.uk. This policy explains what personal data we collect, why we collect it, and how we handle it.
1. Who We Are

2. Data We Collect
- Account data: Full name, email address, and mobile number provided at registration.
- Identity document: A photo of your driving licence or passport, uploaded before the test to confirm identity.
- Identity video: A 30-second webcam recording made at the start of the assessment.
- Webcam snapshots: Periodic still images captured during the test session for proctoring purposes.
- Test data: Your answers, score, time taken, and any flagged events (tab switches, fullscreen exits).
- Technical data: IP address, browser user agent, and session timestamps.
3. Why We Collect It
- Identity documents and video are collected to verify that the person taking the test is who they claim to be, and to provide a verifiable evidence trail to licensing authorities if requested.
- Test data is used to grade your assessment and generate your certificate.
- Account data is used to manage your account and allow certificate re-download.
- Technical data is used for security, fraud prevention, and audit logging.
4. Legal Basis
We process your data on the basis of your consent (given when you register and begin the assessment) and our legitimate interest in providing a trustworthy, fraud-resistant certification service.
5. Data Retention
- Webcam evidence (video and snapshots) is automatically deleted after 90 days from the date of the assessment.
- Identity documents are retained for the same 90-day period.
- Certificates and test records are retained indefinitely to allow permanent public verification.
- Account data is retained while your account is active.
6. Who We Share Data With
We do not sell or share your personal data with third parties for marketing purposes. We may share data in the following limited circumstances:
- Licensing authorities (councils): A council may formally request your evidence package (video, ID, test record) through our Council Evidence Portal. We will only fulfil a request if it is approved by our team and the download link is shared securely with the requesting council. You will have consented to this possibility by using this service.
- Legal obligations: We may disclose data where required by law.
7. Public Certificate Verification
Your name, English level, test date, and certificate reference are visible to anyone who looks up your certificate reference at /verify. This is intentional — it allows licensing authorities to confirm a certificate's authenticity. If your certificate is revoked, only the revocation status is shown.
8. Your Rights
Under UK GDPR you have the right to:
- Access a copy of the personal data we hold about you.
- Request correction of inaccurate data.
- Request erasure of your data (right to be forgotten). Note: erasing your data will invalidate your certificate and remove it from public verification.
- Object to or restrict processing.
- Lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.

9. Security
All data is transmitted over HTTPS. Identity documents and webcam evidence are stored in a restricted directory not accessible via the web. Access to evidence files is limited to authorised admin and approved council requests only.
10. Cookies
We use a single session cookie to keep you logged in. This cookie is not used for tracking or advertising.
11. Changes to This Policy
We may update this policy from time to time. The date at the top of this page reflects the most recent revision. Continued use of the platform after a change constitutes acceptance of the updated policy.
